About Filters

Main Admins can create, configure, edit, and manage filters within the IntelligenceBank platform.

Note: You must have Main Admin permission to create and manage filters. Navigate to Admin > Filters to get started.

What Are Filters?

Filters are used throughout IntelligenceBank to categorise and narrow down content, making it easy for users to search or find what they need. Filters are used primarily in:

  • Asset Library — to help users find and narrow down assets when browsing or searching.
  • Databases/Custom Forms — to serve as the source for single/multi select field values within custom forms, which users can also leverage to filter/search their published records/briefs/forms by.
  • Custom Pages — to easily find, for example, a specific brand's custom pages within the Custom Pages section of the platform.
  • Marketing Compliance & Content Risk Review — to categorise and determine which rules are checked when content is uploaded and scanned for risk.

Creating a Filter

To create a new filter, navigate to Admin > Filters. Any existing filters will appear in the left-hand panel. Follow the steps below to build a new one.

2Set as Required (optional)If enabled, users cannot save an asset or custom page to the platform without first assigning a value to this filter. Applies to resources and custom pages.
3Enable Multiple Values (optional)Allows a single asset or page to be assigned with more than one value from this filter — e.g. an asset that applies to both the United States and Australia.
4Select "Enable Filter For" modulesChoose which platform areas this filter applies to. Resources is selected by default. Additional options include Custom Pages, Custom Forms (Databases), and News.
5Restrict to folders (optional)For Resources, you can limit where the filter appears within your Asset Library by selecting Restricted and choosing a folder or folders. Enable Auto-propagate restrictions to subfolders on save to apply the filter to all subfolders within a parent folder automatically. Consider using this feature if a given filter is only relevant to particular assets organised in a specific folder/folder structure.
6Add your filter valuesType a value and click Add to add your next. Aim to keep the total number of values per filter under 50 wherever possible for performance and usability. Click the trash can icon to remove a value, the arrow icons to reorder, or Sort Alphabetically to display values in alphabetical order to end users.
7SaveClick Save to publish the filter to the platform.

Editing & Managing Existing Filters

To edit a filter, go to Admin > Filters and click on the filter name in the left-hand panel. From here you can:

  • Delete a value — click the trash can icon next to the value and select Save Changes. The value will be removed retroactively from all assets, pages, and forms where it was applied.
  • Rename a value or filter group — type the new name directly in the field and click Save Changes. The rename applies retroactively across the platform.
  • Delete the entire filter — click the Delete Filter icon. You will be prompted to confirm. Deleting a filter removes it from all areas where it was enabled.

Warning: Deleting a filter value or an entire filter is a retroactive action — it removes the tag from every asset, page, or form it was applied to across the platform. There is no in-platform undo. See the Recovering Deleted Filters section below if you need to restore a deleted filter or value.

Restricting Filter Values by Division

If your platform uses multiple divisions (e.g. internal vs. external audiences, or divisions per brand), you can control which values each division sees — without needing to create separate filters per audience.

To set this up, create a single master filter with all values that apply across all divisions, then use the Divisions field on each value to assign it to the relevant division(s). Users will still see the overall filter (e.g. Country), but will only see the values assigned to their division.

Example: A Country filter contains all global markets. External division users should only see Asian markets, while internal users see all others. Assign the Asian country values to the External division, and all remaining values to Internal.

Recovering Deleted Filters or Values

Deleted filters and filter values cannot be restored by admins within the platform. However, IntelligenceBank Support can recover them for you. When contacting support, please provide:

  • The name of the filter and/or value that was deleted
  • The approximate date and time of deletion

Once restored, the filter or value will be retroactively reapplied to all assets, pages, and other content it was previously associated with.
