About Divisions

Modified on Thu, 14 May at 7:25 AM

Divisions in IntelligenceBank allow Main Admins to organise users into overarching, broad categories.

Prerequisites: You must be a Main Admin to create, edit, or delete divisions. Navigate to Admin > Divisions to access the Divisions management area.

What Are Divisions?

Divisions are a way to assign users within the IntelligenceBank platform into overarching umbrella categories. They control two key aspects of a user's experience:

  • Welcome / Landing Pages — Users assigned to a division can be shown a specific landing page when they log in. This is particularly useful for organizations with multiple brands or audiences, allowing each group to land on a tailored experience that reflects their key areas of focus.
  • Filter Value Visibility — Divisions control which filter values are visible to users in filter dropdowns. For example, a multi-brand organization may have a single master filter group containing all brand categories, but use divisions to ensure each user only sees the filter values relevant to their brand.

Common Division Structures

Organizations typically divide their users in one of the following ways:

Division TypeDescription
By BrandSeparate divisions for each brand within a multi-brand organization.
Internal vs. ExternalOne division for internal employees and another for external collaborators such as freelancers or agencies.
By AudienceGrouping users by audience type when different groups need distinct landing experiences.

Creating a Division

To create a new division, navigate to Admin > Divisions and select the Create Division button. Fill in the fields described below.

FieldDescription
Division NameA clear, descriptive name for the division (e.g., "Brand A", "Internal", "Freelancers").
DescriptionAn optional description to clarify the division's purpose.
Default Home PageSelect the landing or welcome page that users in this division will see when they log in.
Superior DivisionOptionally assign a parent division to create a hierarchy of divisions and subdivisions, useful for organizing a large number of divisions.
Users as Group Default RulesAssign default user group permission rules. When a user is added to the platform with User As Group enabled, the default permission levels across platform modules are automatically applied to that user. Please refer to this article to learn more about this feature.
Assign UsersAdd existing platform users to this division. See the important note below about single-division membership.

Important — Single Division Membership: A user can only belong to one division at a time. If you assign a user to a new division and save, they will be automatically removed from their previous division and placed into the new one.

Editing a Division

To edit an existing division:

  1. Navigate to Admin > Divisions.
  2. Locate the division you wish to edit from the list of existing divisions.
  3. Select the Edit icon next to the division name to open it in an editable form.
  4. Make the required adjustments to any field, such as the division name, description, home page, or assigned users.
  5. Select Save at the bottom of the page to apply your changes.
