About the IntelligenceBank Content Risk Reviews Add-in for Microsoft PowerPoint

Modified on Wed, 13 May at 4:45 PM

The IntelligenceBank Content Risk Reviews Add-in for Microsoft PowerPoint brings your organization's compliance, legal, and brand checks into PowerPoint. Open the task pane on the deck you're working on, run an on-demand review across every slide, address the risks the panel surfaces, and - when you're ready - send the presentation to the selected Database, and if applicable, Record, in IntelligenceBank.

The add-in is best suited/used for organizations that:

  • Work heavily in Microsoft PowerPoint and want to run risk reviews directly within this environment.
  • Want to address as many risks as possible before submitting content to IntelligenceBank for formal sign-off or approval.
  • Need to collaborate with stakeholders who are Microsoft users but perhaps not IntelligenceBank users.
  • Prefer or require their collaboration workflow happen within Microsoft rather than in IntelligenceBank.

What the Add-in Does

  • On-demand risk detection - check the entire deck against your organization's rule sets without leaving PowerPoint.
  • Risks grouped by slide - results are organized by slide number, with click-to-jump navigation to the slide a risk appears on.
  • Inline feedback as text-box comments - turn any risk into a styled text box placed on the slide it relates to. Comments are part of the saved presentation and visible to anyone who opens it.
  • Annotated PDF - download a PDF that shows the reviewed slides with the risks highlighted.
  • Direct submission - once you're happy with the deck, send it to IntelligenceBank to create a record on the platform.
  • Consistent rules - the same compliance, legal, and brand checks your team uses elsewhere in IntelligenceBank.

Requirements

  • Microsoft PowerPoint on a host that supports the Office.js PowerPoint API 1.5 or later: PowerPoint for Microsoft 365 (Windows, Mac, iPad) or PowerPoint for the web.
  • For better performance, use the PowerPoint Desktop app. Some operations are slower or more constrained on PowerPoint for the web (see Comments in PowerPoint below).

Installing the Add-in (End Users)

Choose the method that matches how add-ins are managed in your organization.

From Microsoft AppSource (recommended)

  1. Open Microsoft PowerPoint.
  2. Click the Insert tab in the ribbon, then Get Add-ins (in some versions: Office Add-ins).
  3. In the Office Add-ins dialog, click Store and search for "IntelligenceBank Content Risk Reviews".
  4. Click Add, review the permissions, then click Continue.
  5. The IntelligenceBank Content Risk Reviews button appears under the IntelligenceBank group on the Home tab.

Admin-deployed install

If your administrator has already deployed the Add-in to your organization:

  1. Open PowerPoint and click Insert > Get Add-ins.
  2. Open the Admin Managed tab.
  3. Find IntelligenceBank Content Risk Reviews and click Add.

Deploying the Add-in (Administrators)

Centralized deployment (administrators)

To deploy the Add-in tenant-wide:

  1. Sign in to the Microsoft 365 Admin Center as an administrator.
  2. Go to Settings > Integrated apps > Get apps.
  3. Search for IntelligenceBank Content Risk Reviews and select the PowerPoint listing.
  4. Click Get it now and choose the user groups to deploy to. The Add-in then appears for those users in PowerPoint under the Admin Managed tab of Insert > Get Add-ins.

How To Use

1Open the Add-inIn PowerPoint, click the IntelligenceBank Content Risk Reviews button under the IntelligenceBank group on the Home tab. The task pane opens to a Welcome to {your tenant} screen.
2Sign InEnter your IntelligenceBank platform URL in the Platform URL field and click Login to IntelligenceBank. A browser tab opens so you can complete authentication on your IntelligenceBank platform - SSO is supported if your platform has it configured. Once the browser tab confirms you're signed in, return to PowerPoint and click Continue. If the browser tab didn't open, use copy the link on the confirmation screen to open the auth URL manually. After your first successful login, the Add-in remembers your platform URL and tenant branding so subsequent sign-ins are faster.

3Open Your PresentationPowerPoint automatically supplies the open presentation as the file to review - no upload step is needed. Once signed in, the Add-in opens to the Create Review tab with your deck already selected.
4Configure Your ReviewIn the Risk Review Configuration section, choose your Database and set any required filters. The Start Risk Review button stays disabled until every required filter is set.
5Run the ReviewClick Start Risk Review. A processing screen shows progress while the Add-in packages the deck and runs the configured rules across every slide. When the review completes, the panel switches to the Latest Review screen.
6View ResultsThe Latest Review screen presents identified risks in two sections: Detected Risks for everything still active and a separate Dismissed section for risks you've put aside. Risks are grouped under Slide dividers so you can scan by location. Each card shows the rule that triggered, a description, the matched text, and any recommendation.

Click a risk to navigate to its slide so you can see it in context.
Insert as comment - add a styled text-box comment to the slide it relates to (see Comments in PowerPoint below).
Dismiss - move the risk to the Dismissed section. Dismissed risks can be brought back if you change your mind.
Insert all - the button at the top of the Detected Risks section inserts every detected risk as text-box comments in one click. Available on the PowerPoint Desktop app only.
Download PDF - download an annotated PDF of the deck with the risks highlighted. Useful for sharing review output with people who don't have PowerPoint or the Add-in.

Tip: Insert all is disabled in PowerPoint for the web. Use the Desktop app to insert risks in bulk, or insert risks one at a time from the panel.

Comments in PowerPoint

PowerPoint's extensibility model has no API for native PowerPoint comments, so the Add-in inserts feedback as styled text boxes placed just outside the slide's right edge. They are not the items in PowerPoint's built-in Comments pane.

  • Each comment text box contains the rule title, description, recommendation, and the original sentence in quotes.
  • Comments are inserted off-slide and stack vertically when there are multiple risks on the same slide.
  • Once inserted, the text boxes are part of the presentation. They survive saving, sharing, and closing the Add-in, and you can edit, move, resize, or delete them like any other shape.
  • When you trigger an insert, the Add-in jumps to the target slide first so you can see the result in context.
  • The Add-in tracks which risks you've already inserted in the current review: an inserted risk's comment button becomes disabled, and Insert all reflects how many risks remain.

PowerPoint Desktop vs PowerPoint for the web

Insert all works in PowerPoint Desktop and is disabled in PowerPoint for the web. On Web, insert risks one at a time using the per-risk comment button. Reviews and individual inserts work in both apps. If you have access to both, Desktop is the smoother experience for decks with many risks.

Send to IntelligenceBank

Sending to IntelligenceBank is an explicit, separate action - running a review does not automatically upload the deck to IntelligenceBank. Click Send to IntelligenceBank in the result actions footer once you're satisfied with the review and need to upload your content to an IntelligenceBank record for official sign off/approval. The Add-in packages the presentation as a PPTX and uploads it to your platform along with the review metadata.

Settings

The menu in the task pane header gives you Settings, Clear Results (visible once a review is loaded), Help & Support, and Logout. The Settings page lets you tailor what the Add-in shows. Changes save automatically and persist between sessions.

Interface

  • Onboarding Help Banners - show or hide the help banners that walk you through the risk review process.
  • Compact View - reduce font sizes and component spacing for a tighter UI.

Actions

  • Send to IntelligenceBank - show or hide the button that sends reviewed content back to your platform. Hide it if your workflow doesn't require sending the deck to IntelligenceBank.
  • Download Review as PDF - show or hide the option to download the annotated PDF of the reviewed deck.

Data and Security

  • Encrypted in transit - all communication with IntelligenceBank uses TLS.
  • Your authentication - sign-in is delegated to your IntelligenceBank platform, including SSO if your organization has it configured. The Add-in does not store your credentials.
  • Same platform controls - presentations sent to IntelligenceBank inherit the permissions, retention policies, and access controls already configured on your platform.

Frequently Asked Questions

Why aren't comments showing in PowerPoint's Comments pane?

PowerPoint's extensibility API has no way to add native comments. The Add-in inserts text boxes positioned just outside the slide instead. They are part of the presentation and visible to anyone who opens it - they're just not in the Comments pane.

What's the maximum file size?

See the latest file size limits here. The Add-in checks the file size before sending anything, so oversized decks are rejected up front with a message naming the file.

Which versions of PowerPoint are supported?

Any PowerPoint host that supports the Office.js PowerPoint API 1.5 or later. In practice that's PowerPoint for Microsoft 365 on Windows, Mac, and iPad, and PowerPoint for the web. Desktop is generally faster and has fewer constraints than the web app.

Why is Insert all disabled in PowerPoint for the web?

PowerPoint for the web can't reliably paint many comments across many slides at once. To avoid partial or silent-failure results, the Add-in disables Insert all on Web. Use the PowerPoint Desktop app for bulk insertion, or insert risks one at a time on Web.

Can multiple people review the same presentation?

Yes. Each reviewer's detected and dismissed lists are scoped to their own session, but text-box comments inserted from the Add-in are part of the presentation and are visible to anyone with access to it.

Do I need to be online?

Yes - signing in, running reviews, and sending presentations to IntelligenceBank all require an internet connection.

The Add-in isn't loading. What should I check?

  1. Confirm you have an internet connection.
  2. Close and re-open the task pane.
  3. Make sure your copy of Office is up to date.
  4. If the issue persists, submit a ticket.
